Steps

The end-to-end workflow covers:

  1. Create the vendor (Pay & Expenses → Vendors → New Vendor), or create one inline while building a bill.
  2. Create the bill with line items, Category/Account assignments, taxes, and any P.O./S.O. reference.
  3. Approve the bill ("Save and Approve") so it counts toward accounts payable.
  4. Record payments against it as they're made (Record Payment - full or partial).
  5. Once fully paid, the bill locks for editing and can be matched against the corresponding bank transaction.

Good to Know

There is no separate Purchase Order stage in this workflow - bills cover ordering, receiving, and paying in a single record.
